FAQ Q163: Can I export my bookings into Google calendar, Microsoft Outlook or Apple iCalendar?

Yes, Planyo automatically creates an iCal feed which you can use to see your bookings in your favorite calendar software. Click here for more info and your iCal feed URL.. Note that the iCal feed is cached and the refresh delay is max. 30min.

You can configure any number of iCal feeds. Each one can use a different template and different filters which means that you can precisely determine which reservations and which personal information is included in the feed. The filters include: resource selection (ID, multiple IDs or using a custom resource property), reservations with a specific form item value, with or without vacations, and different time periods. The templates let you define exactly which data gets exported. For example a common practice is creation of an ical feed which only includes general information about the reservation and the resource while hiding customer's personal information.

Please note that if you use colors AND if you assign your own labels to the colors, then the iCal feed will also include the color label in the CATEGORIES field which can then be displayed in your calendar application (such as Outlook) with a color, similarly to how it's done in planyo.

ICal feeds can also be temporary which means that if you give the iCal feed URL away to another person (e.g. a partner or employee), you can revoke this access at any time in the future, see Q344 for more info.

If you're looking for a 2-way full synchronization of availability between planyo and another system you can use the iCal export feature together with the iCal import extension

If you're looking for a 2-way full synchronization between two different planyo sites, see Q274.

If you're using Google Calendar, Google doesn't give you a setting that you can use to change the refresh frequency. This will result in the calendar being updated only once every 4-6 hours. If refresh delay is important to you, use Google integration instead. Click here to find out more about the Google Calendar integration. Similarly, we have a dedicated Microsoft Outlook integration.
