Setting up the availability of your event resources

In this video we will demonstrate the setup of event-based rentals.

We would suggest using events only if the event duration is always fixed and if you want your customers to choose the desired date from a drop-down list instead of being able to freely choose a date from a calendar date picker.

At this point we've already created a new plano site.

Let's go to the time related settings of the resource.

If you created a planyo site selecting the event category or if you added a new event type resource then you'll see this screen.

If you see our day based settings then scroll down and click on the link: choose the resource type, then select: this is an event.

In the field event dates times enter a single date, a comma separated listing of dates or weekly recurring dates.

You can also add times to the dates in case your event starts at different times of the day.

An example: if you offer yoga classes with a 45-minute duration on each monday from 6 p.m and each friday from 6:30 p.m we use the weekly recurrence since the event is recurring on the same weekdays.

If your customer books a multi-day course, for example a three-day workshop then don't set up the daily hours, add the workshop start dates and set the event duration to three days.

You can add the time schedule as a custom resource property or add this info in the resource details and in the notifications.

You can add unavailability periods in site settings > resource vacations, for example national holidays or vacations or maintenance periods.

You can enter one time or recurring weekly, monthly or yearly vacations.

Please note that administrators can still reserve during the unavailable periods, they will be however presented with a warning message and the reservation will be marked as a conflict.

Of course your customers cannot reserve during vacations.

If you need to make frequent updates to the availability calendar you should instead use the availability page.
